Custom Software for Corporate Travel Policy and Trips

Join.To.IT builds corporate travel software for companies and travel management teams that must book trips against policy: who may travel, who must approve, where the traveller is, and how spend is reconciled. This is not a leisure booking site and not a hotel property-management system.

Corporate travel software we build

Policy first, then the ticket — then knowing who is where

Corporate travel fails when employees book on consumer sites, approvals live in email, and nobody can answer which staff are in a disrupted city. A leisure OTA optimises conversion. A hotel PMS optimises room status. Neither models cost centres, policy bands, approver chains, or duty of care.

We build the programme layer: trip requests, policy evaluation, approvals, booking against the sources you already contract, live trip status, and the alerts a security or people team needs. Join.To.IT does not run a travel agency and does not claim GDS or OTA partnerships. Your content, deals, and TMC relationship stay yours.

Systems for company travel, not guest-room operations

Start with the approval bottleneck or the duty-of-care gap, then connect booking and expense reconciliation.

01

Travel policy engine

Encode class, advance-purchase, preferred suppliers, and city bands so employees see why a fare is in or out of policy before they submit.

  • Policy by role, band, and cost centre
  • Cabin, hotel, and rail rules
  • Advance-purchase and duration limits
  • Preferred-supplier logic
  • Exception codes and justifications
02

Trip request and approvals

A request that names travellers, dates, purpose, and estimated cost, routed to the right manager and finance path — not an email chain.

  • Trip request forms
  • Multi-step approver chains
  • Delegates and out-of-office routing
  • Out-of-policy escalation
  • Audit trail of decisions
03

Employee booking against policy

Search and book trips as an employee of the company, with policy messages in the path and fulfilment through the booking sources you already use.

  • Traveller profiles and passports you store
  • In-policy search and book
  • Offline and assisted booking handoff
  • Ticket and itinerary delivery
  • Changes and cancellations with re-approval
04

Duty of care and traveller tracking

Know who is travelling, where they should be, and how to reach them when a disruption or regional alert hits.

  • Live trip inventory by city
  • Check-in and missed-connection flags
  • Alert targeting by location
  • Emergency contact reachability
  • Risk-region travel holds
05

Company accounts and cost centres

Trips belong to entities, departments, and projects so invoices and reports match how the company actually spends.

  • Legal entity and cost centre mapping
  • Project and client billing codes
  • Invoice and VAT capture
  • Unused ticket tracking
  • Programme reporting for finance
06

TMC and arranger workbench

Tools for travel arrangers and TMC agents: queues of requests, policy breaches, and bookings that need a person — not a public leisure storefront.

  • Arranger queues and SLAs
  • On-behalf-of booking
  • Policy override with reason
  • Traveller support cases
  • Supplier and fulfilment notes
AI for corporate travel

Speed policy decisions without hiding who approved what

Programme teams drown in exception emails and disruption noise. AI helps draft policy explanations, summarise trips at risk, and pre-fill requests from calendar context — always with a human on approvals that spend company money.

Our Join.To.IT AI development team connects these capabilities to your policy rules, trip records, and the booking data you already hold.

Policy explanation at search time

State why a fare or hotel is out of policy in the employee’s language, citing the rule, not a generic “see handbook” message.

Trip request drafting

Pre-fill dates, destinations, and estimated cost from a meeting invite or prior trip, for the employee to correct before submit.

Approver briefs

Summarise a request: policy gaps, historical spend for that traveller, and the exception reason, so managers decide without opening six tabs.

Disruption targeting

Match a weather or security notice to travellers whose itineraries intersect the location, for duty-of-care staff to send a real message.

Expense mismatch flags

Highlight bookings and expense lines that do not match the approved trip, for finance to review rather than an automatic rejection.

Corporate travel integrations

Connect identity, booking sources, and finance systems you already run

We integrate identity directories, HRIS, booking and fulfilment APIs you are licensed to use, payment and lodge cards, expense tools, and messaging. We do not claim GDS, OTA, or TMC brand partnerships. If you work with a travel management company, we integrate to the interfaces that company provides to you.

This stack is employee and programme software. It is not a hotel housekeeping board and not a public leisure search engine. Those products live on the hotels and travel platforms pages.

Why custom software

Why programmes outgrow a consumer booking site plus email

Consumer tools are fast for leisure. They do not know your policy, your approvers, or your duty-of-care obligations. Custom software is for the company as the customer of travel, with the employee as the traveller — not the other way around.

Policy is not a PDF

If employees only learn the rule after they book, finance spends its week on exceptions that should never have been ticketed.

Approvals need an audit trail

Manager replies in email are not a control. Out-of-policy spend needs a recorded decision.

Duty of care needs a trip inventory

You cannot help people you cannot find. Consumer itineraries in personal inboxes are invisible to security teams.

The company is the buyer

Cost centres, entities, and unused tickets are finance problems a leisure checkout will not model.

We are not your TMC

Join.To.IT builds software. Fulfilment, 24-hour desks, and supplier deals stay with the TMC or in-house team you already have.

Our development process

From travel policy to a working employee trip system

The same Join.To.IT delivery process, applied to policy, approvals, booking, duty of care, and reconciliation.

01

Business analysis

Map how a trip is requested, approved, booked, disrupted, and expensed today, including unofficial consumer-site bookings.

02

Solution design

Define policy rules, organisation data, booking sources, and identity, plus what duty-of-care staff must see in an incident.

03

UI/UX design

Design employee and approver flows that make the in-policy path the easy path, and arranger tools for the rest.

04

Development

Build policy and approvals first, then booking against one fulfilment source, then duty-of-care views and finance reporting.

05

Quality assurance

Test out-of-policy escalation, delegate approvers, failed bookings, traveller alerts, and SSO edge cases.

06

Launch & support

Launch with one country or business unit, measure adoption versus leak to consumer sites, then extend the programme.

FAQ

Corporate travel software questions

Practical answers for travel programme owners, people teams, finance, and TMC technology leads.

How much does corporate travel software development cost?
Policy plus approvals for a single country is a different project from global booking, duty-of-care alerting, and finance integrations. Cost follows that scope and how many booking sources you must call. We estimate after we see your policy document, identity setup, and whether a TMC already fulfils tickets, then we price a defined first release rather than a worldwide replacement on day one.
Is this a leisure online travel agency?
No. The traveller is an employee booking against company policy, not a consumer collecting holiday packages. There is no public storefront, no merchandising of leisure deals, and Join.To.IT does not operate an OTA. If you need a travel product platform for paying guests, use the travel platforms page instead of this one.
Do you replace our hotel property management system?
No. Hotel PMS software manages rooms, housekeeping, and guest folios on a property. Corporate travel software manages employee trips, policy, approvals, and duty of care. We might display a hotel booking the employee made through your contracted source; we do not run night audit or room status. Property operators should use the hotels and resorts page.
Can you integrate with our travel management company?
When the TMC exposes booking, profile, or PNR interfaces you are allowed to use, yes. We build against those contracts. We are not a TMC, we do not staff a 24-hour emergency desk, and we do not claim we are a partner of any GDS or agency brand. Fulfilment stays with the team you already pay for that work.
How does duty of care work in the system?
The system holds an inventory of approved, booked trips with locations and contact paths. When you ingest an advisory or a disruption event, duty-of-care staff can see who is affected and send a message. Check-in flags help, but they are not a guarantee of safety. We design for reachability and audit, not for a claim that software prevents incidents.
Will employees still book on consumer websites?
Some will, unless policy, speed, and expense rules make the official path easier. We measure leak after launch. Tools that only police after the ticket is issued usually fail. The build focuses on a fast in-policy book path, clear exception handling, and expense matching so unofficial bookings become visible rather than invisible.
