Custom CRM and Software for Real Estate Agencies

Join.To.IT builds real estate CRM and agency software around listings, leads, viewings, offers, and how agents get paid. We are a software studio, not a realtor: we do not sell houses, join listing boards, or replace your brokerage compliance officer.

Real estate agency software solutions we build

Real estate CRM that follows listings, not a generic sales funnel

Agencies lose deals in the gaps: a lead with no listing attached, a viewing that never made it into the calendar, an offer tracked in a chat thread, and a split nobody can reconstruct at month-end. A generic CRM treats those as “deals”. Your floor treats them as inventory and people.

We build software for real estate agencies where the listing, the contact, the viewing, and the offer share one timeline. Principals see pipeline and agent contribution without exporting three spreadsheets the night before a meeting.

Software modules

Listing management software and the agency operating stack

Start with listings and lead capture — the two places agencies leak the most follow-up — then add viewings, offers, and splits.

01

Listing inventory and media

Internal listing records with status, media, and the attributes agents actually use when they match a buyer.

  • Listing status and exclusivity dates
  • Media, floor plans, and remarks
  • Price history and vendor notes
  • Internal vs public field control
  • Feed-ready listing payloads
02

Lead and enquiry routing

Every enquiry lands on a listing and an agent with an owner, instead of a shared inbox nobody wants.

  • Source tracking per enquiry
  • Listing-linked contact records
  • Round-robin and territory rules
  • Duplicate and household matching
  • Follow-up sequences you control
03

Viewing scheduling software

Book, confirm, and feedback viewings against both the listing diary and the agent’s day.

  • Multi-party viewing slots
  • Confirmations and reminders
  • Feedback capture after the visit
  • Key and access instructions
  • No-show and rebook handling
04

Offer tracking software

Structured offers, counters, conditions, and deadlines so the desk is not reconstructing a deal from email.

  • Offer and counter versions
  • Conditions and expiry timers
  • Document checklist per deal
  • E-signature handoff
  • Audit trail of who changed what
05

Agent split software

Commission plans, referrals, and desk fees calculated from closed deals rather than a side spreadsheet.

  • Plan templates by role
  • Referral and co-broke lines
  • Desk fee and override rules
  • Period close for the floor
  • Agent-facing earnings views
06

Principal dashboards and compliance logs

Pipeline, conversion, and activity the principal can stand behind, with notes your compliance process requires.

  • Pipeline by listing and agent
  • Conversion and ageing reports
  • Activity and call logging
  • Required disclosure checklists
  • Export for accountant and broker
AI for real estate agencies

AI on your listings and leads, reviewed by the agent

Agency AI is useful when it drafts listing copy, summarises enquiries, and flags stale follow-up against your inventory — always with an agent in the loop before anything goes to a client.

Our Join.To.IT AI development team connects these capabilities to your listing records, enquiry history, and offer files.

Enquiry qualification

Summarise inbound messages, match them to live listings, and suggest the next step for the assigned agent.

Listing copy drafts

Generate a first-pass description from attributes and photos for the listing agent to edit and approve.

Viewing follow-up prompts

Detect viewings with no feedback logged and draft a follow-up the agent can send or rewrite.

Offer pack summaries

Extract price, conditions, and dates from incoming offer documents into the deal record for review.

Stale pipeline alerts

Surface listings and leads that have gone quiet against the activity rules your desk already uses.

Agency integrations

Connect real estate agency software development to portals and e-sign

Where a portal or feed specification is published, we syndicate listing data from your system as the source of truth. We do not claim membership of any multiple listing service, and we do not operate as a licensed brokerage.

We also connect e-signature, calendars, telephony or messaging, accounting for commission payouts, and document storage so offers and splits are not retyped.

Why custom software

Why agencies outgrow a generic CRM seat

Sales CRMs do not know what a listing is. Property products built for landlords do not know what an offer clock or an agent split is. Agencies sit in the middle and pay for both, then keep a spreadsheet anyway.

Inventory is not a deal stage

A listing has vendors, media, publicity rules, and a diary. Forcing it into a generic opportunity object loses that.

Viewings are the conversion event

If the calendar and the CRM disagree, agents stop logging, and the principal is managing rumours.

Offers need a clock

Expiry, conditions, and counters are the job. Email folders do not enforce any of that.

Splits are how you keep agents

Opaque commission math becomes a retention problem. The system should explain earnings without a side conversation.

Portal duplication creates errors

Re-entering listings by hand is how prices and withdrawn stock go public wrongly. One internal record should feed the rest.

Our development process

From the agency floor to a working CRM

The same Join.To.IT delivery process, applied to listings, leads, viewings, offers, and agent splits.

01

Business analysis

Shadow how listings, enquiries, viewings, and offers move on your floor, including the unofficial spreadsheets.

02

Solution design

Define listing, contact, viewing, and deal objects, plus portal feeds, e-sign, and commission accounting connections.

03

UI/UX design

Design agent-fast screens for the desk and a calmer principal view for pipeline and splits.

04

Development

Build listing and lead capture first, then viewing diaries, offer rooms, and split calculations.

05

Quality assurance

Test feed payloads, permission boundaries between agents, offer versioning, and commission edge cases.

06

Launch & support

Launch with one team or office, migrate live listings carefully, then roll out reporting and portal syndication.

FAQ

Software for real estate agencies: questions

Practical answers for brokerage principals, office managers, and operations leads planning a custom CRM.

How much does custom real estate CRM development cost?
A listing-and-lead core is a smaller build than adding viewing diaries, offer rooms, portal feeds, and agent split software. Complexity comes from permissions between agents, commission rules, and the number of channels that must stay in sync. We scope after discovery and quote a defined feature set rather than charging per agent seat.
Are you a realtor or an MLS member?
No. Join.To.IT designs and builds software. We do not sell property, represent buyers or sellers, or hold listing-board membership. If your market uses a portal or feed specification, we integrate to that specification. Access credentials and any membership remain yours.
Can agents see only their own pipeline?
Yes. Permission models usually separate listing ownership, shared office stock, and principal-wide reporting. Agents work their leads and viewings; managers see conversion and ageing; finance sees splits. We design those boundaries with you so the CRM does not become a gossip channel or a black box.
Will this replace our property management work orders?
No. This page is for agencies running listings, leads, viewings, offers, and splits. Tenant tickets, owner statements, and occupancy ledgers belong on the property management page. If you run both businesses, we can share contacts or buildings without turning the CRM into a maintenance desk.
Can you syndicate listings to portals?
Where a portal publishes an API or feed spec, yes — your internal listing record remains the source of truth and updates flow out. Rules differ by provider and market, so we confirm payload fields and withdrawal behaviour during discovery. We never invent a partnership logo or board membership we do not have.
Do you build mobile apps for agents on viewings?
Yes, when the floor actually works that way. Viewing check-in, feedback notes, and photo capture fit a mobile app; heavy offer editing often stays on the desktop. We choose web, iOS, and Android based on how your agents already spend the day, not a default app-store pitch.
