Custom Operations Software for Marketing Agencies

Join.To.IT builds operations software for marketing agencies: retainers, production traffic, asset reviews, and client reporting. We are the engineering partner for your studio and account teams. We are not a marketing agency, and we do not sell campaigns, media, or creative services.

Agency software we build

Retainers, traffic, reviews, and reporting in one operations system

Agencies outgrow a pile of project tools: a board for jobs, a drive for files, email for amends, slides for monthly reporting, and a spreadsheet for retainer hours. Traffic cannot see what account promised. Clients approve the wrong version. Hours disappear until the month-end write-off.

We build the agency operating system those teams run on. Join.To.IT does not pitch, plan, or run your marketing. If you need a consulting CRM or a staffing ATS, those are different firm types with different pages.

Platforms built for agency account, traffic, and studio teams

Start with retainers and traffic — where scope and deadlines usually diverge — then extend into reviews and client reporting.

01

Client and retainer management

Accounts, retainers, included hours, and overage rules so account leads know what is sold before they brief the studio.

  • Client and brand records
  • Retainer plans and hour banks
  • Overage and change-of-scope flags
  • Account team ownership
  • Renewal and notice dates
02

Briefs and job bags

Every piece of work starts as a brief tied to a retainer or a project fee, with deliverables traffic can schedule.

  • Structured briefs from templates
  • Deliverable and channel lists
  • Job numbers and cost codes
  • Kickoff checklists
  • Scope vs retainer remaining
03

Production traffic

A traffic view of who is doing what, by when, across studio, freelance, and account — not a consulting utilisation bench.

  • Job schedule and priorities
  • Studio and freelancer capacity
  • Due dates and dependency flags
  • Status from briefed to shipped
  • Daily traffic huddle boards
04

Asset review and approval

Versioned creative with internal then client review, so comments sit on the file instead of a 40-message thread.

  • Versioned asset libraries
  • Internal then client review rounds
  • Pin and comment on the file
  • Approval and rejection states
  • Final-file lock for delivery
05

Client reporting hub

A portal where clients see live jobs, approved assets, and the monthly report without waiting for a deck to be rebuilt.

  • Job and retainer visibility
  • Approved asset downloads
  • Monthly report workspace
  • Metric snapshots you define
  • Shared comments on the report
06

Time, estimates, and agency P&L inputs

Time against jobs and retainers, estimate vs actual, and exports into the accounting system that already invoices clients.

  • Time on jobs and retainers
  • Estimate versus actual
  • Freelance cost capture
  • Write-off and approval
  • Export to agency billing
AI for agency operations

Draft traffic notes, review summaries, and report first cuts from your job data

Agency AI is useful on operations: turning briefs into job bags, summarising amends, and assembling report sections from exports you already have. It does not replace your creative team, and Join.To.IT does not run the campaign.

Our Join.To.IT AI development team connects these capabilities to your briefs, asset versions, time, and reporting exports.

Brief to job-bag drafting

Turn a written brief into a structured job with deliverables and suggested traffic dates for a traffic manager to confirm.

Amend summarisation

Collapse review comments across versions into a single action list for the designer and account lead.

Retainer hour risk

Flag retainers that will over-run based on jobs already in traffic, before the month-end surprise.

Monthly report assembly

Draft report sections from job status, shipped assets, and metric exports you connect, for account to edit.

Status updates for clients

Generate a weekly status from live jobs for the account lead to send, instead of rebuilding the same email.

Agency integrations

Connect traffic to the creative, analytics, and billing tools you already use

Studios will not abandon the design tools or ad accounts they work in. We integrate storage and DAM products, analytics and ad-platform exports as categories, e-signature, identity, accounting, and the messaging tools account teams already live in.

Time and job codes flow to billing; report snapshots flow from the platforms you already pay for. We do not operate those ad accounts for you.

Why custom software

Why agencies build operations software instead of stacking more project apps

Horizontal project tools do not know what a retainer hour is. Creative review tools do not know what was sold. Reporting lives in slides. Custom software is how those objects share one job number.

Retainers are the commercial core

If hour banks are not visible to traffic, the studio will over-deliver and the write-off shows up too late.

Traffic is a scheduling problem

Jobs, people, and due dates need a production view, not a consulting utilisation model or a legal matter file.

Amends need versions

Clients approve files. Email cannot prove which version shipped.

Reporting is part of the retainer

A portal with live jobs and a monthly pack is how account teams stop rebuilding the same deck.

We build software, not campaigns

Join.To.IT is the engineering partner. Your agency still owns creative, media, and the client relationship.

Our development process

From agency operations to a working studio platform

The same Join.To.IT delivery process, applied to retainers, traffic, asset reviews, and client reporting.

01

Business analysis

Map how briefs become jobs, how traffic runs the week, and how retainers are actually tracked — including the unofficial boards.

02

Solution design

Define clients, retainers, jobs, assets, and time, plus integrations to billing, storage, and reporting exports.

03

UI/UX design

Design a traffic board producers will use every morning and a review flow clients can complete on a laptop.

04

Development

Build retainers and jobs first, then traffic, asset review, time, and the client reporting hub.

05

Quality assurance

Test hour-bank maths, version locks, client permissions, and export of time into billing.

06

Launch & support

Pilot with one account team and studio pod, migrate live jobs, then roll out remaining brands or offices.

FAQ

Marketing agency software questions

Practical answers for agency owners, heads of operations, and traffic leads. Join.To.IT builds the software; we do not act as your agency.

Are you a marketing agency? Do you run campaigns for us?
No. Join.To.IT is a custom software and AI engineering firm. We build retainers, traffic, review, and reporting systems that marketing agencies operate. We do not sell media, creative, SEO retainers, or campaign management. If you want an agency to run marketing, hire an agency. If you want software those teams work in, you are in the right place.
How much does custom software for a marketing agency cost?
A traffic board plus job bags is smaller than adding retainer hour banks, client review, and a reporting portal. We scope after discovery and price against a defined feature set rather than per designer seat, which matters when freelancers come and go. File storage volume and client-permission models usually affect the estimate more than extra status columns.
How is this different from consulting firm software?
Consulting software is built around pipeline, statements of work, and utilisation of consultants on advisory projects. Agency software is built around retainers, production traffic, asset versions, and client reporting. Using a consulting staffing model for a studio is how traffic loses the week. If you sell consulting projects, use that page instead.
Can clients review assets without another login maze?
Yes. Review links and portal access are designed for marketers on the client side: see the version, comment, approve or reject, and download finals when you release them. Internal rounds stay internal. Account still controls what the client sees. We do not host a public creative community or claim a design-tool partnership.
Will this replace our design tools or ad platforms?
No. Designers keep the tools they produce in. Media and analytics stay in the platforms you already buy. The operations system holds the job, the brief, the version that was approved, the hours, and the report pack. We connect exports and storage; we do not operate ad accounts or publish campaigns on your behalf.
How do retainers stay visible to traffic?
Each job is booked against a retainer or a project fee. Hour banks decrement as time is approved, and traffic sees remaining hours before accepting a new brief. Overage requires an account decision instead of silent extra work. That commercial spine is why agencies outgrow a generic kanban that never knew what was sold.
