Legal workflow and law firm software

Custom Legal Workflow Software for Law Firms

Join.To.IT builds legal workflow software for law firms and legal operations teams: intake, matters, privilege-aware documents, time, and a client portal that does not leak files into email. We engineer the system your lawyers work in. We do not practise law, hold practising certificates, or replace your professional obligations.

Legal software we build

Matters, intake, privileged documents, and time in one workflow

Law firms accumulate a practice system for billing, a shared drive for documents, a spreadsheet for intakes, and inboxes full of client files. Privilege and ethical walls are enforced by memory. Clients chase status because the only channel is email. Time is captured at month-end, when memory is already gone.

We build matter-centric platforms: an enquiry becomes an intake, an intake becomes a matter with the right people and the right document room, and time attaches to that matter. This is law firm workflow software — not accounting engagement software, and not a consulting staffing board.

Platforms built around matters, not generic projects

Start with intake and the document room — the two places confidentiality and missed files hurt most — then extend into time and the client portal.

01

Matter intake and conflicts workflow

Structured intake from first enquiry, with conflict and eligibility checks your risk team defines. The software records the process; it does not certify fitness to practise.

  • Enquiry capture from web and email
  • Intake questionnaires by practice group
  • Conflict search against clients and matters
  • Risk team review and audit trail
  • Open-matter checklist before work starts
02

Matter and case workflow

Each matter has parties, team, key dates, tasks, and status that partners can see without opening ten folders.

  • Matter records linked to clients and parties
  • Practice-group task templates
  • Key dates and reminder workflows
  • Team roles and ethical wall flags
  • Partner status views by caseload
03

Privilege-aware document rooms

Documents live on the matter, with access rules, privilege markings, and versioning so working files are not a public shared drive.

  • Matter-linked storage and folders
  • Privilege and confidentiality markings
  • Version history and check-in
  • Ethical walls between teams
  • Retention holds you configure
04

Time capture on the matter

Fast time entry against matters and tasks, with fee arrangements that export cleanly into the billing system you already run.

  • Matter and task time entry
  • Narratives and activity codes
  • Fixed fee and staged billing flags
  • Disbursement capture
  • Approval and export to billing
05

Client portal for legal work

A controlled channel for document exchange, requests, and matter progress instead of attachments in personal inboxes.

  • Secure document upload and download
  • Information request lists
  • Matter status the client is allowed to see
  • E-signature hand-off
  • Notifications without exposing privilege
06

Deadline and diary operations

Firm-wide visibility of key dates, limitation reminders, and hearing or filing diaries your practice groups maintain.

  • Matter key-date registers
  • Recurring limitation reminders
  • Calendars per practice group
  • Escalation when dates slip
  • Export to lawyer calendars
AI for legal operations

Assist on your matters and your documents, with a lawyer in the loop

Legal AI is useful for intake triage, first drafts from firm templates, and finding a clause in your own files. It is not a substitute for legal advice, and we do not claim it meets any bar or regulator standard.

Our Join.To.IT AI development team connects these capabilities to your matter records, document rooms, and approved precedent libraries.

Intake triage support

Classify incoming enquiries against your practice groups and flag missing intake fields for a human to complete.

Precedent-grounded drafting support

Produce first drafts from your templates and matter data for a lawyer to revise. Outputs stay internal until approved.

Document review assistance

Summarise long files and extract dates, parties, and defined terms, with citations back to the source page.

Matter briefing for handovers

Generate a sourced briefing from the matter file so a colleague covering a file starts with context, not a dump of PDFs.

Time narrative suggestions

Suggest time narratives from documents touched and tasks closed that day, for the fee earner to accept or rewrite.

Legal integrations

Connect the matter platform to billing, email, and document stores

Firms keep the billing engine they already trust. We integrate accounting and billing platforms, email and calendar, document storage, e-signature, identity, and research or court diary feeds where you already have a supplier.

Matter identifiers, time, and documents stay consistent so lawyers are not copying files between three systems.

Why custom software

Why firms build legal workflow instead of stretching generic practice tools

Packaged practice management encodes one filing and billing model. Firms with mixed contentious and non-contentious work, or with walls between teams, spend more time fighting the product than serving clients.

The unit of work is the matter

Intake, documents, time, and the client conversation all hang off a matter — not a generic project or an accounting engagement.

Privilege is a product requirement

Access rules, markings, and audit logs have to be designed, not hoped for in a shared drive.

Intake is where risk starts

Work that starts before a conflict check is a process failure the system should make hard to skip.

Clients judge the file hygiene

A portal with the right documents beats a partner chasing attachments the night before a call.

Time delayed is time lost

If capture is painful, narratives are fiction and realisation suffers, regardless of the billing brand you use.

Our development process

From legal operations to a working matter platform

The same Join.To.IT delivery process, applied to intake, matters, privileged documents, time, and the client portal.

01

Business analysis

Map intake, conflict checks, matter opening, and document handling with partners, risk, and legal ops — including the unofficial folders.

02

Solution design

Define clients, parties, matters, privilege markings, and time, plus integrations to billing, email, and storage.

03

UI/UX design

Design intake that lawyers will complete, a document room with obvious walls, and a portal that exposes only what the client should see.

04

Development

Build intake and matter records first, then privilege-aware documents, time capture, diary, and the client portal.

05

Quality assurance

Test ethical walls, privilege filters, audit logs, time export accuracy, and portal permissions with your risk team’s scenarios.

06

Launch & support

Pilot with one practice group, migrate live matters and documents, then extend walls and diaries firm-wide.

FAQ

Law firm software development questions

Practical answers for managing partners, legal operations, and firm IT — without invented licence claims.

Do you provide legal services or hold practising certificates?
No. Join.To.IT builds software. We do not practise law, give legal advice, or hold bar, solicitor, or other practising certificates. Conflict checks, privilege markings, and retention rules in the product are workflows your risk team specifies. Your lawyers remain responsible for professional conduct. We implement access control, audit trails, and hosting choices you require; we do not certify you to a regulator.
How much does custom legal workflow software cost?
Scope drives cost. Intake plus a matter list is smaller than privilege-aware document rooms, time export, diaries, and a client portal. We price after discovery against a defined feature set rather than per lawyer seat. Hosting region, encryption, and audit requirements your risk team sets can affect infrastructure, and we document those choices instead of bundling unnamed certifications.
How is this different from accounting firm software?
Legal workflow is organised around matters, intake, privilege, and time on the file. Accounting practice software is organised around clients, engagements, tax seasons, and workpapers. Mixing those models is how firms end up with the wrong permissions and the wrong calendar. If you run a CPA practice, use the accounting firms page. This page is for law firms and legal operations teams.
Can AI draft documents that go straight to the client?
No. We build drafting and review assistance that produces first versions from your templates and matter data, with citations where extraction is used. Every output is presented for a lawyer to edit and approve. The system does not send client correspondence on its own. We do not claim the assistant meets any court, bar, or professional-conduct standard.
Do we have to replace our billing system?
Usually not. Many firms keep the billing engine and build intake, matters, documents, and the portal around it. Time and matter codes export so invoices still originate where finance expects. Replacing billing is a separate, high-risk programme we only scope when the firm has a clear reason to leave the current product.
How are ethical walls and privilege handled in the product?
Access is designed around matters and teams: people see documents and time only for matters they are staffed on, plus any wall exceptions your risk team defines. Privilege markings travel with files, searches respect walls, and actions are audit-logged. Your policies decide the rules; we implement and test them. We do not issue legal privilege opinions.
