Software for accounting and CPA firms

Custom Software for Accounting and CPA Firms

Join.To.IT builds practice software for accounting, tax, and CPA firms: client records, engagements, tax-season production, workpapers, and a portal your clients actually use. This is how the firm delivers professional work — not an in-house accounts-payable and accounts-receivable factory for a corporate finance team.

Practice software we build

Clients, engagements, busy season, and workpapers in one system

Accounting firms run a practice, not a corporate shared-service centre. Clients need onboarding and letters of engagement. Tax and audit work arrives in seasons. Prepared-by-client lists stall in email. Workpapers live in a file share that does not know who signed off. Staff get scheduled by hallway conversation until February.

We build the practice operating system: the client, the engagement, the document requests, the workpapers, and the partner review queue. If you need AP, AR, and close automation for an in-house finance team, that is a different product family under financial services.

Platforms built for CPA and accounting practices

Start with engagements and PBC collection — the two places busy season usually breaks — then extend into workpapers and the client portal.

01

Practice client management

A client record built for a firm: entities, contacts, bookkeeping vs tax vs audit relationships, and who owns the account.

  • Client and entity structures
  • Service lines per client
  • Partner and manager ownership
  • Onboarding checklists
  • Referral and source tracking
02

Engagement letters and scoping

Engagements as the unit of work: letters, scope, deadlines, and staffing — distinct from a corporate AP invoice queue.

  • Engagement letter templates
  • Scope, fees, and deliverables
  • Acceptance and e-signature
  • Staff assignment by engagement
  • Deadline calendar by filing type
03

Tax season and production control

Work-in-progress boards for returns, extensions, and review queues so busy season is visible instead of tribal.

  • Return and filing inventories
  • Status from prep to partner sign-off
  • Extension tracking
  • Capacity views for busy season
  • Bottleneck alerts on review queues
04

Workpapers and PBC requests

Prepared-by-client lists, workpaper binders, and sign-off that stay tied to the engagement rather than a generic drive.

  • PBC request lists and reminders
  • Workpaper binders per engagement
  • Preparer, reviewer, and partner sign-off
  • Tick marks and review notes
  • Roll-forward into next year
05

Client portal for firm clients

A portal your tax and accounting clients use to upload packs, see outstanding items, and collect e-signatures on letters.

  • Secure document exchange
  • Outstanding PBC visibility
  • Organiser questionnaires
  • E-signature on letters and returns as you allow
  • Multi-entity client access
06

Staff scheduling and realisation

Who is on which engagement through busy season, with realisation and lockup views partners can act on.

  • Weekly staffing against engagements
  • Busy-season load levelling
  • Time against the engagement
  • Realisation and lockup reports
  • Partner dashboards by book of business
AI for accounting practices

Speed PBC chasing, workpaper first drafts, and organisers — with a reviewer in the loop

Practice AI helps when it classifies client uploads, drafts organiser follow-ups, and points staff at last year’s workpaper. It does not replace partner sign-off, and it is not an AP invoice-coding bot for a corporate shared service.

Our Join.To.IT AI development team connects these capabilities to your client files, engagement records, and workpaper archive.

PBC pack classification

Sort client uploads against the request list and flag missing statements so staff are not renaming PDFs all morning.

Organiser and follow-up drafting

Draft client reminders from outstanding PBC items and prior-year organisers for a manager to send.

Workpaper roll-forward assistance

Suggest roll-forward structure and last-year notes for the current engagement binder, ready for preparer review.

Engagement briefing

Summarise the client, open items, and last-year issues when a new staff member is staffed onto a file.

Review note clustering

Group recurring review comments so partners see patterns across a book instead of repeating the same note.

Practice integrations

Connect the practice platform to tax, bookkeeping, and billing tools you already run

Firms keep tax preparation, bookkeeping ledgers, and practice billing where they work. We integrate those categories of system, plus e-signature, identity, document storage, and banks or payment providers you already use for client collections.

The engagement remains the system of record for who is doing what; specialised tax and ledger products stay in their lane.

Why custom software

Why practices build instead of borrowing corporate finance tools

AP/AR automation is built for a company paying its own suppliers. An accounting firm needs clients, engagement letters, seasonal production, and workpapers. Using the wrong product family is how busy season still runs on spreadsheets.

The client is not an internal vendor

You manage a book of external clients and entities, not a single company’s supplier master.

Engagements replace invoices as the spine

Scope, letters, and sign-off live on the engagement; a PO-match workflow does not.

Tax season is a production problem

Volume, review queues, and extensions need a shop-floor view generic finance tools never grew.

Workpapers are the work product

Binders, tick marks, and roll-forward are practice artefacts, not AP backup folders.

Partners sell a professional service

Realisation, lockup, and book-of-business reporting are how the firm is managed — not a corporate close checklist alone.

Our development process

From practice workflow to a working firm platform

The same Join.To.IT delivery process, applied to clients, engagements, tax-season production, and workpapers.

01

Business analysis

Map client onboarding, engagement letters, PBC collection, and review as they run in busy season and in the quiet months.

02

Solution design

Define clients, entities, engagements, workpapers, and staffing, plus integrations to tax, ledger, and billing products.

03

UI/UX design

Design a production board managers will use in February and a portal clients will upload to without a support call.

04

Development

Build client and engagement records first, then PBC, workpapers, tax-season boards, and partner reporting.

05

Quality assurance

Test sign-off trails, portal permissions across family and group clients, deadline logic, and time export into billing.

06

Launch & support

Pilot with one service line such as tax or CAS, migrate open engagements, then scale into audit or advisory work.

FAQ

Accounting firm software questions

Practical answers for managing partners, COOs, and practice IT in CPA and accounting firms.

Is this the same as your accounting and finance automation page?
No. This page is software for accounting firms and CPA practices: clients, engagement letters, tax seasons, workpapers, and client portals. Accounting and finance automation under financial services is in-house AP, AR, and close automation for a company’s own finance team. If you are a corporate controller buying invoice capture, use that page. If you run a practice that files returns and signs engagement letters, you are in the right place.
How much does custom software for an accounting firm cost?
A client portal and PBC tracker is a contained project; adding engagement control, workpaper binders, tax-season boards, and partner realisation reporting is a larger programme. We scope after discovery and price against a defined feature set rather than per staff seat, which matters when seasonal hires join for busy season. Hosting and access rules follow what your risk and quality team require.
Will it replace our tax preparation software?
Usually not. Most firms keep the tax product that prepares returns and use the practice platform for clients, engagements, PBC, workpapers, and production control. We integrate or import identifiers so a return in the tax tool still traces to an engagement here. Replacing a tax engine is rarely the first problem worth solving.
Can it handle tax season volume and review queues?
Yes. Production boards show every return or engagement by status, who is preparing, who is reviewing, and what is blocked on the client. Extension tracking and capacity views are part of the same model so partners see the queue before it becomes a weekend emergency. We tune the board with managers who have lived through a filing deadline, not with a generic kanban.
Do you claim CPA licences or peer-review certifications?
No. Join.To.IT builds software. We do not practise public accounting, issue audit opinions, or hold CPA or similar licences. Quality-control workflows, sign-off, and retention in the product are processes your firm defines. Your professionals remain responsible for standards that apply to them. We implement the controls you specify; we do not certify the firm.
How do workpapers differ from a shared drive?
Workpapers are bound to an engagement with preparer, reviewer, and partner steps, roll-forward into the next period, and access that follows staffing. A shared drive stores files; it does not know which letter of engagement they belong to or whether the partner signed off. PBC items and client portal uploads land in the same binder so staff stop hunting across email.
