Custom Software for Investment Management Operations

Join.To.IT builds operations software for RIAs, wealth teams, and asset operations groups: client onboarding, document rooms, reporting packs, and the back-office queues that keep households and mandates in good order. We do not originate loans, run claims, or promise investment performance.

Investment operations software we build

Client, document, and reporting work — not a trading desk pitch

Wealth and asset operations teams sit between CRM notes, custodian portals, shared drives of signed PDFs, and a reporting tool that never quite matches how you present households. The investment process may be disciplined; the operational trail often is not.

We build the workflow layer for onboarding, document completeness, service requests, and reporting operations around the custodians and portfolio systems you already use. This is not loan origination software and not an insurance claims system.

Platforms for RIA, wealth, and asset operations

Start where onboarding stalls or quarterly packs slip — then connect documents, service requests, and review cycles.

01

Client and household onboarding

Structured journeys for new households and mandates, with checklists that ops and the client both see.

  • Household and entity structures
  • Onboarding checklists by account type
  • Custodian paperwork tracking
  • Beneficial owner and related-party lists
  • Go-live gates for ops
02

Document rooms and completeness

A controlled place for agreements, tax forms, and IPS files, with versioning instead of inbox archaeology.

  • Per-household document libraries
  • Required-document matrices
  • Expiry and refresh alerts
  • E-signature handoff
  • Staff and client upload permissions
03

Service request operations

Money-in, money-out instructions, demographic changes, and advisor requests as tickets with an audit trail.

  • Request types and SLAs
  • Dual-control on sensitive changes
  • Custodian instruction status
  • Client confirmation steps
  • Ops notes and escalation
04

Reporting pack production

Quarterly and ad-hoc client packs assembled from your data sources, reviewed before they leave the firm.

  • Template-based pack assembly
  • Review and approval queues
  • Distribution logs to clients
  • Exception lists for missing data
  • Archive of issued packs
05

Review and meeting workflows

Periodic reviews scheduled against household calendars, with prep packs and follow-up tasks.

  • Review cadence by household
  • Prep checklists for advisors
  • Meeting notes capture
  • Action items after reviews
  • Coverage and overdue reporting
06

Ops dashboards and exceptions

A firm-wide view of incomplete onboarding, stale documents, open requests, and packs still in review.

  • Queue by team and role
  • Aging of open items
  • Completeness scores by household
  • Exports for compliance review
  • Workload balancing views
AI for investment operations

Read documents and prep reviews — do not invent returns

Ops teams spend hours finding the latest IPS, matching names across packs, and drafting review notes. AI helps with documents and summaries. It does not forecast performance or replace your investment process.

Our Join.To.IT AI development team connects these capabilities to your household files, approved templates, and internal procedures.

Document completeness checks

Flag missing or expired forms against your required-document matrix, with a human confirming before a household is marked complete.

Pack and file summarisation

Produce a short, sourced brief of a household file so ops and advisors start reviews with context, not a scavenger hunt.

Meeting note drafting

Draft follow-up notes from your templates after a review, ready for the advisor to edit and send.

Internal procedure assistants

Answer staff questions about onboarding steps and request types from your own approved operations manuals.

Exception clustering

Group similar document or data issues so ops fix a pattern once instead of reworking the same gap household by household.

Investment operations integrations

Connect ops workflows to custodians, CRM, and reporting tools

We integrate with custodian and portfolio platforms, CRM, e-signature, document storage, and the reporting or performance systems you already licence. Categories, not invented vendor partnerships.

We do not custody assets, execute trades as a broker, or publish investment performance. Those remain with your firm and your providers.

Why custom software

Why RIAs and asset ops teams build a workflow layer

Custodian portals and portfolio systems are excellent at holdings. They are rarely excellent at your household model, your document matrix, or how your firm runs reviews. Generic CRM treats wealth ops as another sales pipeline.

Households are not CRM contacts

Entities, related parties, and multiple accounts need a data model sales software does not provide.

Documents create the real workload

Onboarding and refreshes fail on missing files, not on a missing dashboard widget.

Reporting is an operations process

Pack assembly, review, and distribution need queues — not a one-click PDF that nobody signed off.

Sensitive changes need dual control

Instructions and demographic updates should be logged and dual-controlled, not buried in email.

This is not lending or claims

Your work is client servicing and reporting. Loan origination and insurance claims software solve a different job.

Our development process

From household ops to a working investment operations system

The same Join.To.IT delivery process, applied to onboarding, document rooms, service requests, and reporting packs.

01

Business analysis

Map how households onboard, how documents are chased, and how quarterly packs and reviews actually get out the door.

02

Solution design

Define household and mandate data models, document matrices, dual-control rules, and custodian or CRM integration points.

03

UI/UX design

Design ops queues and client-facing status so advisors and clients see completeness without calling operations.

04

Development

Build onboarding and document rooms first, then service requests, pack production, and review cadences in usable slices.

05

Quality assurance

Test permissions, dual-control paths, missing-document edge cases, and pack approval before a reporting cycle.

06

Launch & support

Launch with one team or book of business, then extend household types, pack templates, and reporting after real volume.

FAQ

Investment management software questions

Practical answers for RIA operations leads, wealth COOs, and asset operations managers.

How much does investment management software development cost?
Scope depends on household complexity, document matrices, and how many custodian or reporting systems must connect. Onboarding plus a document room is a contained first release; adding pack production and dual-control service requests expands it. We price after discovery against a defined feature set, not assets under management.
Do you guarantee investment performance?
No. We build operations software: onboarding, documents, servicing, and reporting workflows. We do not manage money, publish returns, or promise portfolio outcomes. Performance figures, if shown, come from systems you already use and remain your responsibility to approve before clients see them.
Is this loan origination or claims software?
No. Those workflows live on our lending and insurance pages. This page is for RIA, wealth, and asset operations: client onboarding, document completeness, service requests, and reporting packs. If you originate credit or handle claims, those are separate products with different cores, partners, and audit needs.
How do you approach access control and logging?
Role-based access, dual-control on sensitive instructions, environment separation, and audit logs of who viewed or changed a household record. Encryption in transit and at rest follows your hosting model. We do not claim PCI or SOC certifications we do not hold; we implement the controls your compliance team specifies.
Can you integrate with our custodian?
Usually through the API or file interface the custodian provides. Many are read-heavy and conservative on writes, so we often display holdings and status from the custodian while keeping onboarding and document workflows in the layer we build. We confirm interface limits in discovery.
Will AI pick investments or write performance commentary as fact?
No. AI helps check document completeness, summarise files, and draft notes from your templates. Investment decisions and any performance narrative stay with your people and approved sources. We will not position a model as a substitute for your investment process.
