Finance Automation Software for In-House Teams

Join.To.IT builds accounting automation software for corporate finance teams: accounts payable, accounts receivable, close checklists, and document capture into the ERP you already run. This is not practice, engagement, or time-and-billing software for public accounting firms.

In-house finance software we build

AP, AR, and close on your ERP — not a firm’s practice system

In-house finance teams live in the ERP, shared inboxes of vendor PDFs, spreadsheet trackers for close, and a collections list that lives in someone’s head. Generic AP tools ignore how your coding, approvers, and entities actually work.

We build automation around that operation: capture, AP and AR workflows, close tasks, and document search — posting into the system of record you already licence. If you are an accounting firm looking for engagement and practice management, that is our professional services industry page, not this one.

Platforms for corporate AP, AR, and the close

Start with the inbox that delays posting — vendor invoices or overdue AR — then extend into close without replacing the ERP.

01

AP capture and coding

Vendor invoices from email or portals into coding, matching, and exception queues before a controlled post to the ERP.

  • Invoice capture from mailboxes
  • PO and GRN matching support
  • Coding suggestions with review
  • Duplicate invoice flags
  • Vendor master exception handling
02

AP approval workflows

Thresholds, entity and department routing, and a trail of who approved — without turning Slack into the ledger.

  • Multi-step approval matrices
  • Delegation and out-of-office
  • Mobile approve with context
  • Rejected-invoice loops
  • Approval audit history
03

AR and collections worklists

Aged receivables, promise-to-pay, and collector notes sitting next to invoices — for your company, not for a firm’s clients.

  • AR aging worklists
  • Promise-to-pay tracking
  • Collector assignment
  • Dispute and deduction cases
  • Customer statement packs
04

Close management

A living close checklist by entity: owners, dependencies, evidence links, and status that controllers can actually run.

  • Task templates by entity
  • Dependencies and due dates
  • Evidence attachments
  • Sign-off per checklist item
  • Close status reporting
05

Finance document automation

Contracts, invoices, and close binders searchable by the team that owns them, with retention you define.

  • Document classification
  • Link to vendor, customer, or period
  • Retention labels
  • Controlled sharing internally
  • Search across finance files
06

ERP posting and finance reporting

Controlled writes and operational dashboards. The general ledger remains in your ERP; we do not become a second set of books.

  • Validated posting payloads
  • Failed-post exception queues
  • AP and AR operational dashboards
  • Close progress views
  • Exports for controllers
AI for in-house finance

Read invoices and binders — do not invent the books

Finance automation pays off on documents and checklists. AI extracts invoice fields, suggests coding, and summarises close evidence. Posting, approvals, and judgement stays with your team and your ERP.

Our Join.To.IT AI development team connects these capabilities to your invoice archive, close binders, and approved accounting policies.

Invoice field extraction

Pull vendor, amounts, dates, and line hints from PDFs, with confidence scores and a human queue for exceptions.

Coding suggestions

Suggest GL, cost centre, and tax treatment from history and your rules. Accountants accept or correct before posting.

Close binder summaries

Summarise evidence attached to a close task so reviewers start with context, with links back to the source files.

Collections correspondence drafts

Draft reminder and statement emails from your templates for collectors to review before send.

Policy assistants for accountants

Answer internal questions from your accounting manual and close playbook, with citations — not as external tax advice.

Finance automation integrations

Connect workflows to ERP, banks, and document sources

We integrate with ERP and accounting systems, banks and payment files, vendor portals, e-invoicing networks, and the identity tools your employees already use.

We do not replace your ERP as the books, do not provide statutory audit opinions, and do not sell practice management for accounting firms.

Why custom software

Why in-house finance builds automation instead of more spreadsheets

ERP screens were built for posting, not for how your shared-services team works exceptions. Point AP tools fight your coding model. Practice software is built for firms, not for a corporate controller.

Your chart of accounts is the product

Entities, intercompany, and approval matrices rarely match an off-the-shelf AP happy path.

Close is a project every month

Checklists in slides do not show blockers, evidence, or who is actually done.

AR is operations, not a dashboard widget

Collectors need worklists, promises, and disputes — not another aging PDF.

The ERP stays the ledger

Automation should post cleanly, not silently become a second set of books.

Firms need a different product

Engagement, time, and client accounting for practices is not this page. Corporate AP/AR/close is.

Our development process

From AP inboxes to finance automation on your ERP

The same Join.To.IT delivery process, applied to capture, AP/AR workflows, document automation, and close.

01

Business analysis

Map invoice capture, approvals, AR collections, and close as they run today, including where items wait on coding or evidence.

02

Solution design

Define invoice and close data models, approval matrices, ERP posting contracts, and how every approval and post is logged.

03

UI/UX design

Design exception queues and close boards that controllers will run, with ERP remaining the system of record.

04

Development

Build capture and AP exceptions first, then AR worklists, close checklists, and document search in slices finance can UAT.

05

Quality assurance

Test duplicate invoices, failed posts, permission boundaries, and incomplete close evidence before a live period.

06

Launch & support

FAQ

Finance automation software questions

Practical answers for controllers, heads of shared services, and finance systems owners in operating companies.

How much does finance automation software development cost?
Cost follows entities, approval matrices, and ERP integration depth. Capture plus AP exceptions is a contained first release; AR worklists and a full close board expand scope. We price after discovery against a defined feature set, not per invoice processed.
Is this software for accounting firms and practices?
No. This page is for in-house corporate finance: AP, AR, document automation, and close on your ERP. Practice management, engagements, time-and-billing, and client accounting for professional services firms is a different product and lives on our professional services industry page.
Do you replace our ERP or become our accountant?
No. We automate workflows around the ERP you already run. Journals and subledgers stay there. Join.To.IT does not provide bookkeeping, audit opinions, or tax filings. Your finance team remains the accountant of record, and the ERP remains the system of record.
Will AI post invoices without review?
We use AI to extract fields and suggest coding. Posting follows your approval matrix and a validated ERP payload. Exceptions stay in a human queue. The model does not invent balances, approve invoices on its own, or silently close the books.
How do you handle access control and logging?
Role-based access by entity and process, environment separation, encryption in transit and at rest, and logs of approvals and posting attempts. We do not claim PCI or SOC certifications we do not hold. If internal audit needs a named standard, we build to those controls.
How is this different from payments and billing software?
Payments and billing pages focus on invoicing customers, processor events, payouts, and reconciling settlement. This page is the in-house finance factory: vendor AP, customer AR operations, close checklists, and ERP posting. Some companies need both; they are different queues and buyers.
